6 Factors That Determine the Cost of Cleaning Your Short-Term Rental Property

What vacation rental owners should know before requesting a cleaning quote

When it comes to pricing vacation rental cleaning services, one size certainly doesn't fit all. Two properties with the same number of bedrooms can have significantly different cleaning costs depending on their layouts, amenities, and how they're managed.

At Emerald Coast Cleaning Solutions, we've been servicing vacation rental properties along Florida's Emerald Coast since 2011. One of the most common questions we receive from prospective clients is, "How much will it cost to clean my property?"

The answer depends on several factors, many of which aren't immediately obvious.

Here are six important considerations that go into preparing an accurate cleaning quote for a short-term rental property.

1. Number of Bedrooms and Bathrooms

This is typically the starting point for any cleaning estimate, but there's more to consider than simply counting bedrooms and bathrooms.

For example, a five-bedroom luxury home with five ensuite bathrooms presents a very different cleaning situation than a three-bedroom home with two bathrooms and a bunk room designed to accommodate additional guests.

The number of actual beds matters, too. More beds mean additional linens to change, more laundry to process, and additional time spent preparing the property for the next guest.

We also consider the property's overall design, bathroom configurations, and sleeping capacity. All of these details contribute to the time and labor required for a thorough turnover.

2. How Are Linens and Towels Managed?

Linen management is one of the biggest variables in vacation rental cleaning.

Some property owners purchase their own sheets and towels and maintain an inventory in an owner's closet. Others prefer to participate in a linen rental program, eliminating the need to purchase, replace, and manage these items themselves.

There are also questions about where the laundry is processed. Will it be washed on-site, or transported to an off-site commercial laundry facility?

At Emerald Coast Cleaning Solutions, we offer linen management services that include off-site laundering, inventory management, and coordinating the delivery of clean linens for each turnover.

The method selected by the property owner directly affects the overall cleaning process and, ultimately, the price.

3. How Frequently Will the Property Turn Over?

Not all vacation rentals operate the same way.

Some properties are managed strictly as income-producing investments, with owners looking to maximize occupancy throughout the year. Others are second homes that are rented occasionally, with owners occupying the property for several months annually.

The number of guest departures and turnovers affects the cleaning schedule, staffing requirements, and overall condition of the property.

A heavily rented home may experience more wear and tear, require additional attention to high-traffic areas, and develop maintenance issues more quickly than a lightly used second home.

Understanding how a property is utilized throughout the year helps us anticipate its cleaning and inspection requirements.

4. What Is the Square Footage of the Property?

Bedroom count alone doesn't tell the whole story.

Here in the Destin and South Walton market, it's not unusual to find two five-bedroom homes with dramatically different square footage.

One may be 3,000 square feet, while another is closer to 5,000 square feet.

Although both properties have five bedrooms, the larger home may have substantially more living space, hallways, staircases, dining areas, and other common areas requiring cleaning.

More square footage generally means more surfaces to clean and more time needed to complete the turnover.

That's why understanding the actual size and layout of a property is an important part of preparing an accurate estimate.

5. What Types of Flooring Are in the Home?

Flooring materials can make a surprising difference in the time and methods required to clean a vacation rental.

Carpet, hardwood, ceramic tile, laminate, and luxury vinyl plank (LVP) flooring all have different cleaning requirements.

Some flooring materials require specialized cleaning solutions, while others require additional attention to sand, moisture, and everyday wear.

In our coastal market, sand is a constant consideration. It finds its way into virtually every property, regardless of how careful guests may be.

The combination of flooring types throughout a home affects the equipment, products, and labor involved in each cleaning.

6. Is the Property a Condominium, Townhome, or Freestanding House?

The type of property is another important consideration.

For example, a condominium located within a professionally managed building may have common areas, elevators, exterior walkways, and other shared spaces maintained by the condominium association.

In those situations, the cleaning company's responsibility may be limited primarily to the interior of the unit and any private outdoor areas.

A freestanding vacation rental home can be an entirely different situation.

In addition to cleaning the interior, the cleaning team may be responsible for resetting outdoor furniture, inspecting pool areas, cleaning patios and porches, checking grills, and performing a general walk-around of the property.

These additional responsibilities take time and must be considered when preparing a cleaning quote.

Why We Prefer to Visit a Property Before Providing a Quote

As you can see, there's much more to pricing a vacation rental cleaning than simply knowing the number of bedrooms and bathrooms.

At Emerald Coast Cleaning Solutions, we very rarely provide firm cleaning quotes over the phone without first visiting the property.

A brief walk-through allows us to evaluate the home's layout, sleeping arrangements, flooring, linen requirements, outdoor spaces, and other details that influence the scope of work.

More importantly, it gives us an opportunity to discuss the owner's expectations and determine what services will best meet their needs.

Our goal isn't simply to provide a cleaning price. It's to develop a service plan that helps protect the property, supports a positive guest experience, and gives the owner confidence that their investment is being properly cared for.
